You’ve got the groundwork under control. Venue tours, food tastings, linen meetings, floral design—it’s all in your spreadsheet, playing nicely with your budget and your Pinterest boards. The band is booked and your photographers did a great job with the engagement photos for those custom save the dates. Just a couple spelling corrections on the invitations and those will be sent to the printer. Now you’re looking for someone to pull it all together for the wedding weekend, to make sure your months of hard work and careful planning come off just as you envisioned so you can relax and enjoy the big day.

Our coordination | Crafting the Experience
We’re dedicated to bringing your vision to life so our coordination services typically start six to eight weeks before the wedding. We’ll review your vendor contracts and work with you to create a timeline of the weekend that details all the fun: when you’ll arrive in town, rehearsal dinner toast lineup, who gets the early hair and makeup times, when the bridesmaids’ lunch will be delivered, where the family should gather for photos, who walks grandma down the aisle, what time you’ll cut the cake, and where the after-party will be. We run our timeline by your vendors for their feedback and take on the vendor communication from there, confirming arrival and load-in times and the flow of the day.

We join you on the final walk-thru with your caterer and help create a diagram of the room, discussing where the cake display will have the most visual impact, where the escort card table should be positioned to avoid delays, and where your slow motion videobooth will attract the most interaction.

We’ll meet again in the week or two leading up to your wedding for a final review of your timeline. From the final timeline, we’ll create a Cliff Notes version that you can email to your bridal party and families. We’ll also print copies to hand out at rehearsal. At this meeting, you’ll hand off personal items like those Waterford champagne glasses, your canoe paddle guestbook, escort cards, programs, and your marriage license so you don’t have to think about transporting them to the wedding.

By the wedding weekend, we’re fully invested in making your celebration a success. We’ll co-direct the rehearsal with your officiant. We’ll be one of the first vendors on site to coordinate wedding day setup. We’ll check in on the bridal party to make sure hair & makeup is on schedule, sew on any missing suit jacket buttons, and order more mimosas if needed. We’ll cue the processional, make sure the photographers get detail shots of the reception before guest purses and jackets take over the chairs, have the kitchen keep your entrees warm when a perfect sunset beckons you for more photos, confirm your best man isn’t in the bathroom when toasts are announced, deliver cards and gifts to your room, order an Uber for the tipsy uncle, and pack up your personal items at the end of the night.

The wedding day is an incredible convergence of beloved people and unforgettable moments. We set the stage and thoughtfully craft a timeline for the experience but our true skill lies in calmly anticipating the unexpected and being able to improvise in the face of unforeseen scenarios. It’s what we do well so you and your guests can revel in the moment.

In this package we:

    • Meet for up to four advance consultations via phone or in person (typically includes a timeline meeting, a final venue walk-thru, and a final review meeting)
    • Communicate event logistics with your team of creative professionals during month before event
    • Create wedding weekend timeline with your feedback and conveyed to your creative team
    • Create custom bridal party and family timelines for the wedding weekend
    • Attend a final walk-thru to confirm room layout and event flow logistics
    • Coordinate rehearsal in collaboration with ceremony venue and officiant
    • Coordinate wedding day logistics on site from setup time thru teardown time
    • Coordinate contracted vendors to ensure they provide highest quality products and services
    • Answer questions, offer creative input, and give general advice by phone and email on any areas of service included in your package
